Category: getting-started
A complete guide to configuring your profile for high-deliverability SMS in Tanzania.
Welcome to Sakura SMS
Sakura SMS is Tanzania's premium bulk SMS and WhatsApp Business gateway. This guide walks you through setting up your account from scratch.
Step 1: Create Your Account
Visit sakurasms.com/register and enter your business details. You'll need:
- Business name (must match your BRELA registration)
- Email address (used for login and notifications)
- Phone number (for OTP verification)
- Company name and industry
Step 2: Complete Onboarding
After registration, you'll be guided through a 7-step onboarding process:
- Business Details — Legal name, TIN, industry
- Sender ID Rules — Understanding TCRA regulations
- Credit Rates — Choose your pricing tier
- Channel Selection — SMS, WhatsApp, or both
- WhatsApp Setup — Optional Meta Business configuration
- Email Preferences — Billing alerts, campaign reports, weekly digest
- Account Review — Your account is submitted for admin approval
Step 3: Profile Configuration
Navigate to Settings > Profile. Ensure your business name matches your legal registration (BRELA). This is crucial for Sender ID approval. The network operators (Vodacom, Tigo, Airtel) verify this against the national registry.
Step 4: The Trust Score
Your account starts with a standard trust score. To unlock unlimited daily sending limits, complete the KYC verification process. Unverified accounts are limited to 50 SMS per day.
Sakura Ecosystem Advantage:
Already a SakuraHost or SakuraPay customer? Link your accounts in the Billing section to share credits across the Sakura ecosystem.

What Happens After Verification

- Eligible for custom Sender IDs
- Access to WhatsApp Business API
- Priority delivery routing on all networks
Important: All documents must be in the name of the registered business. Personal documents are only accepted for sole proprietorships.

## Understanding Sender IDs in Tanzania
URL: https://sakurasms.com/resources/knowledge/sender-ids
Category: getting-started
Everything about registering your Brand Name (e.g., 'SAKURA') vs. numeric headers.
The Power of a Brand Name
Messages sent from a branded sender ID like "SAKURA" have a 40% higher open rate than those from unknown numbers like +255 7XX... A Sender ID is your digital signature on every message.
Types of Sender IDs
- Alphanumeric — Your brand name (e.g., SAKURA, MYSHOP). Max 11 characters. Requires TCRA approval.
- Numeric — A phone number (e.g., +255712345678). No approval needed but lower trust.
- Short Code — A 4-6 digit number. Enterprise only, highest trust level.
TCRA Rules and Guidelines
- Length: Maximum 11 characters
- Content: Must relate to your business name. Generic names like "promo" or "alert" will be rejected
- Characters: Letters, numbers, and spaces only. No special characters (&, @, #)
- Approval Time: 3-5 business days (network operator dependent)
How to Request a Sender ID
- Navigate to Compose Page
- Click Request New ID
- Enter your desired sender name
- We handle the paperwork with Vodacom, Tigo, Airtel, and Halotel on your behalf
Network-Specific Notes
- Vodacom: Strictest approval process. Business license mandatory.
- Tigo: Moderate approval time. Accepts BRELA certificate.
- Airtel: Fastest approval, usually within 2 days.
- Halotel: Accepts most registered business names.
Pro Tip: Avoid special characters like & or @ in your sender ID, as they can cause routing issues on older feature phones.

## Creating Your First SMS Campaign
URL: https://sakurasms.com/resources/knowledge/creating-first-campaign
Category: sms-campaigns
Step-by-step guide to composing and sending your first bulk SMS campaign.
Send Your First Message
Sakura SMS makes it easy to reach your audience. Follow these steps to create your first campaign.
Step 1: Navigate to Compose
Click Compose in the sidebar under Messaging. This opens the campaign composer.
Step 2: Set Campaign Details
- Campaign Name — Internal label for tracking (e.g., "March Promo")
- Sender ID — Select an approved sender name from the dropdown
Step 3: Choose Recipients
You have three options:
- Contact Groups — Select from your pre-built audience segments
- Manual Entry — Type or paste phone numbers (comma-separated)
- CSV Upload — Bulk import from a spreadsheet
Step 4: Write Your Message
Type your message in the composer. Keep it under 160 characters for a single SMS segment. Use Magic Write (AI) to enhance your copy automatically.
Step 5: Preview and Send
- Review the recipient count and estimated cost
- Choose Send Now or Schedule for later
- Click Send Campaign
Step 6: Monitor Delivery
Track your campaign in History. You'll see real-time delivery reports (DLR) showing sent, delivered, failed, and pending counts.
Cost Tip: Each SMS segment is 160 characters. Messages over 160 chars are split into multiple segments. Use personalization variables wisely to stay within one segment.

## Personalizing Messages with Variables
URL: https://sakurasms.com/resources/knowledge/personalizing-messages
Category: sms-campaigns
Use dynamic variables to make each message unique and boost engagement.
Why Personalization Matters
Personalized messages have 3x higher engagement than generic blasts. Sakura SMS supports dynamic merge variables that insert contact-specific data into each message.
Available Variables
{name} — Contact's full name
{firstName} — Contact's first name
{lastName} — Contact's last name
{phone} — Contact's phone number
{company} — Contact's company name
Example
Template: Hello {name}, your appointment is confirmed for tomorrow at 10 AM. Reply CANCEL to reschedule.
Result: Hello John Doe, your appointment is confirmed for tomorrow at 10 AM. Reply CANCEL to reschedule.
Best Practices
- Always set a fallback value (e.g., "Customer") in case the field is empty
- Test with a small group before sending to your full audience
- Personalization helps bypass spam filters on Vodacom and Tigo, since each message is unique
Important: Variables only work when sending to Contact Groups, not manual number entry. Ensure your contacts have the required fields populated.
---
## Scheduling Campaigns
URL: https://sakurasms.com/resources/knowledge/scheduling-campaigns
Category: sms-campaigns
Schedule messages for optimal delivery times and manage recurring campaigns.
Timing is Everything
Sending your message at the right time can dramatically improve open rates. Sakura SMS supports scheduling campaigns for future delivery.
How to Schedule
- Compose your campaign as normal
- Instead of "Send Now", choose Schedule
- Pick a date and time (East Africa Time / EAT)
- Confirm and submit — the campaign enters SCHEDULED status
Optimal Sending Times for Tanzania
- Best hours: 9 AM - 12 PM and 2 PM - 5 PM (EAT)
- Avoid: Before 7 AM and after 9 PM (unless transactional)
- Best days: Tuesday through Thursday for highest engagement
- Weekend: Saturday mornings work well for retail promotions
Managing Scheduled Campaigns
View all scheduled campaigns in History. You can cancel a scheduled campaign before its send time. Once processing begins, it cannot be stopped.
TCRA Compliance: Avoid sending promotional messages between 9 PM and 6 AM unless they are transactional (OTPs, alerts, confirmations).

## Understanding Delivery Reports (DLR)
URL: https://sakurasms.com/resources/knowledge/delivery-reports
Category: sms-campaigns
How to read delivery reports and what each status means.
Real-Time Delivery Tracking
Every SMS sent through Sakura SMS is tracked with real-time Delivery Reports (DLR). Here's how to interpret them.
Status Definitions
- SENT — Message dispatched to the carrier network
- DELIVERED — Confirmed received by the recipient's phone
- FAILED — Message could not be delivered (invalid number, network error, blocked)
- PENDING — Waiting for carrier confirmation (may take up to 48 hours)
- EXPIRED — Carrier could not deliver within the retry window (usually 24-48 hours)
Viewing Reports
Navigate to History in the sidebar. Click any campaign to see the detailed breakdown per recipient.
Common Failure Reasons
- Invalid Number — Number does not exist on any network
- Phone Off — Recipient's phone is powered off or out of range
- Blocked — Recipient has blocked SMS from your sender ID
- Network Congestion — Carrier queue full, retry later
- Spam Filter — Message flagged by carrier anti-spam systems
Tip: If your delivery rate drops below 90%, check your contact list quality. Use the Audience Cleaning feature to remove invalid numbers and save credits.

## Optimizing Delivery for Vodacom & Tigo
URL: https://sakurasms.com/resources/knowledge/optimizing-vodacom-tigo
Category: sms-campaigns
Strategies to ensure 99.9% delivery rates on Tanzania's largest networks.
The Network Landscape
Vodacom and Tigo together serve over 70% of Tanzania's mobile users. Both networks have strict spam filters. If you send the same generic message to 5,000 people instantly, you risk being flagged.
Sakura's Smart Throttling
Our system automatically throttles your campaign to match network throughput limits (approximately 50 SMS/second). However, you can maximize delivery by:
Best Practices
- Personalization: Use variables like
{name} to make every message unique. This is the single most effective anti-spam measure.
- Clean Lists: Regularly remove inactive numbers. Use the Audience Cleaning Tool to save credits.
- Timing: Avoid sending between 9 PM and 6 AM unless it's transactional (OTP/Alerts).
- Content: Avoid ALL CAPS, excessive punctuation (!!!), and known spam trigger words.
- Gradual Ramp-Up: For new sender IDs, start with small batches (500-1000) and gradually increase volume.
Network-Specific Tips
- Vodacom: Most aggressive spam filter. Always use personalization. Avoid sending identical messages in batches over 1,000.
- Tigo: Rate-limits new sender IDs. Allow 48 hours after approval before high-volume sends.
- Airtel: Most lenient, but still respect timing rules.
- Halotel: Good delivery rates but slower DLR confirmation (up to 24 hours).

---
## WhatsApp Message Templates
URL: https://sakurasms.com/resources/knowledge/whatsapp-templates
Category: whatsapp
Create and manage approved WhatsApp templates for outbound messaging.
Why Templates Are Required
WhatsApp Business API requires pre-approved message templates for initiating conversations. You cannot send freeform messages to customers unless they've messaged you within the past 24 hours.
Template Categories
- Utility: Transactional updates (order confirmations, shipping notifications)
- Authentication: OTP and verification codes
- Marketing: Promotional offers, product announcements, newsletters
Creating Templates
- Go to Templates in the sidebar
- Click New Template
- Choose category, language, and enter your message with variables
- Submit for Meta review (usually approved within 24 hours)
Template Variables
Use numbered placeholders: {{1}}, {{2}}, etc. When sending, you provide the actual values for each placeholder.
Example: Hello {{1}}, your order {{2}} has been shipped via {{3}}.
Best Practices
- Keep templates concise and clear
- Avoid promotional language in Utility templates (Meta will reject them)
- Include an opt-out option in Marketing templates
- Test templates with a small audience before large-scale sends

## WhatsApp Shared Team Inbox
URL: https://sakurasms.com/resources/knowledge/whatsapp-inbox

## WhatsApp vs SMS: When to Use Which
URL: https://sakurasms.com/resources/knowledge/whatsapp-vs-sms
Category: whatsapp
Choose the right channel for your message type and audience.
Choosing the Right Channel
Both SMS and WhatsApp have their strengths. Here's when to use each:
Use SMS When:
- You need guaranteed delivery to any phone (smartphones and feature phones)
- Sending OTPs and authentication codes (fastest delivery)
- Your audience includes feature phone users (common in rural Tanzania)
- You want maximum reach — SMS works on every phone
- Sending time-sensitive alerts (delivery sub-3 seconds)
Use WhatsApp When:
- Sending rich media (images, videos, documents, catalogs)
- You need two-way conversations with customers
- Sending longer messages without multi-segment costs
- Your audience is smartphone-heavy (urban markets)
- Running customer support with AI automation
Use Both (Recommended):
The most effective strategy is a multi-channel approach. Use SMS for transactional messages (OTPs, alerts) and WhatsApp for rich marketing content and customer engagement. Sakura supports both from one dashboard.

## API Authentication
URL: https://sakurasms.com/resources/knowledge/api-authentication
Category: developer-api
How to authenticate your API requests with Bearer tokens.
Bearer Token Authentication
All API requests to Sakura SMS require authentication via a Bearer token in the Authorization header.
Generating an API Key
- Go to Developer > API Keys in the portal
- Click Generate and give your key a descriptive name (e.g., "Production", "Staging")
- Copy the key immediately — it will not be shown again
Using the Key
Include the key in every request as a Bearer token:
Authorization: Bearer sk_live_xxxxxxxxxxxxxxxxxxxx
Security Best Practices
- Never expose keys in client-side code (browsers, mobile apps)
- Store keys in environment variables, not in source code
- Use separate keys for production and staging environments
- Rotate keys periodically and revoke unused ones
- If a key is compromised, revoke it immediately in the API Keys tab
Rate Limits
API requests are rate-limited to 50 requests per second per API key. If you exceed this limit, you'll receive a 429 Too Many Requests response. Implement exponential backoff in your retry logic.

## Sending SMS via API
URL: https://sakurasms.com/resources/knowledge/sending-sms-api
Category: developer-api
Complete guide to sending SMS programmatically using the REST API.
POST /api/v1/messages
Send SMS to one or many recipients via a single API call.
Request Parameters
campaignName (string, required) — Internal tracking name
senderId (string, required) — Approved sender ID (max 11 chars)
message (string, required) — SMS text content
manualNumbers (string) — Comma-separated phone numbers
groupIds (string[]) — Contact group IDs to send to
scheduledAt (ISO 8601) — Schedule for future delivery
Response
A successful response (200) returns:
campaignId — Unique ID for tracking the campaign
totalRecipients — Number of recipients
cost — Credits consumed
status — SENT, SCHEDULED, or QUEUED
Phone Number Format
Numbers must be in international format without the + prefix: 255712345678. The system auto-corrects common formats (0712345678 -> 255712345678).
Credit Check: The API will return a 402 Insufficient Credits error if your balance cannot cover the campaign cost. Always check your balance before sending large campaigns.
---
## Managing Contacts via API
URL: https://sakurasms.com/resources/knowledge/contacts-api
Category: developer-api
Push and update contacts programmatically, including custom fields for merge-tag personalization.
Why use this instead of CSV import
If your own system already tracks your contacts (e.g. an order system, a guest list, a booking platform), push data directly via this API instead of exporting to CSV each time. This keeps Sakura in sync automatically as your own records change.
POST /api/v1/contacts
Create a new contact.
Request Parameters
firstName (string) — First name
lastName (string) — Last name
mobile (string, required) — Phone number, international format without +
customFields (object) — Any additional per-contact data, as key/value pairs
Example
POST /api/v1/contacts
Authorization: Bearer sk_live_...
Content-Type: application/json
{
"firstName": "Peter",
"lastName": "Mbelwa",
"mobile": "255767279937",
"customFields": { "entry_code": "PL-047", "card_type": "Family" }
}
PATCH /api/v1/contacts/{id}
Update an existing contact's name or custom fields. customFields are merged onto whatever the contact already has — a partial update (e.g. just updating one field) will not remove the others.
Example
PATCH /api/v1/contacts/clx1234abcd
Authorization: Bearer sk_live_...
{ "customFields": { "rsvp_status": "confirmed" } }
Using custom fields in messages
Any custom field becomes a {{tag}} merge-tag in your campaign message, alongside the built-in {{name}}/{{phone}}/{{company}}/{{date}}/{{balance}} tags. A field named entry_code is used as {{entry_code}} in your message text — matching what you sent in the API call.
Scopes: API keys need contacts:read (for GET) and contacts:write (for POST/PATCH/DELETE) — these are granted automatically when you generate a key from Developer > API Keys in the portal.
---
## Webhooks & Callbacks
URL: https://sakurasms.com/resources/knowledge/webhooks-callbacks
Category: developer-api
Receive real-time delivery notifications and event callbacks.
Real-Time Event Notifications
Webhooks let your application receive real-time notifications when events occur in your Sakura SMS account.
Setting Up Webhooks
- Go to Developer > Webhooks in the portal
- Add your endpoint URL (must be HTTPS)
- Copy the signing secret for payload verification
Available Events
message.sent — SMS dispatched to carrier
message.delivered — SMS confirmed delivered to recipient
message.failed — SMS delivery failed
campaign.completed — All messages in a campaign processed
credits.low — Balance dropped below threshold
contact.created — New contact added to your account
Payload Format
All webhook payloads are JSON with this structure:
event — The event type (e.g., "message.delivered")
timestamp — ISO 8601 timestamp
data — Event-specific data (campaignId, recipient, status, etc.)
Verifying Signatures
Each webhook request includes an X-Sakura-Signature header. Verify it by computing HMAC-SHA256 of the request body using your signing secret.
Retry Policy
If your endpoint returns a non-2xx status, we retry up to 3 times with exponential backoff (30s, 5m, 30m). After 3 failures, the webhook is marked as failing.

## SDKs & Libraries
URL: https://sakurasms.com/resources/knowledge/sdks-libraries
Category: developer-api
Quick-start code examples in Node.js, Python, PHP, and Java.
Get Started in Minutes
Sakura SMS provides a simple REST API that works with any HTTP client. Below are ready-to-use examples in popular languages.
Base URL
https://sakurasms.com
Node.js / JavaScript
Use the built-in fetch API or any HTTP client (axios, got, etc.).
Python
Use the requests library for clean, readable API calls.
PHP
Use curl or the Guzzle HTTP client for production applications.
Java
Use the built-in HttpClient (Java 11+) for modern HTTP requests.
Visit the Developer API page in your dashboard for full copy-paste code examples in all four languages.
Tip: All examples use the same REST API. If your language isn't listed, any HTTP client that supports JSON POST requests will work.
---
## Rate Limits & API Best Practices
URL: https://sakurasms.com/resources/knowledge/rate-limits-best-practices
Category: developer-api
Understand rate limits and build resilient API integrations.
Rate Limits
Sakura SMS enforces rate limits to ensure fair usage and platform stability.
Current Limits
- API Requests: 50 requests per second per API key
- SMS Throughput: ~50 SMS per second (carrier-dependent)
- Webhook Deliveries: No outbound limit (we push as events occur)
Handling Rate Limits
When you exceed the rate limit, the API returns 429 Too Many Requests with a Retry-After header indicating when to retry.
Best Practices
- Implement exponential backoff — Wait 1s, 2s, 4s, 8s between retries
- Batch recipients — Send to multiple numbers in one API call instead of making separate calls per number
- Check balance first — Call GET /api/v1/balance before large sends to avoid 402 errors
- Use webhooks — Don't poll for delivery status; let webhooks push updates to you
- Cache responses — Cache balance and status responses for short periods
- Use idempotency — Include unique campaign names to prevent duplicate sends on retries
Enterprise: Need higher rate limits? Contact our enterprise team for custom throughput allocations.

## API Error Codes & Handling
URL: https://sakurasms.com/resources/knowledge/api-error-handling
Category: developer-api
Complete reference of error codes and how to handle them gracefully.
Error Response Format
All error responses include a JSON body with an error field describing the issue.
HTTP Status Codes
- 400 Bad Request — Missing required fields or invalid data types. Check your request body.
- 401 Unauthorized — Invalid or missing API key. Verify your Authorization header.
- 402 Insufficient Credits — Your balance cannot cover this send. Top up your credits.
- 403 Forbidden — Account not approved or sender ID not verified. Complete KYC.
- 404 Not Found — The requested resource doesn't exist.
- 429 Rate Limited — Too many requests. Slow down and implement backoff.
- 500 Server Error — Internal error. Retry after a few seconds. If persistent, contact support.
Graceful Error Handling
- Always check the HTTP status code before parsing the response body
- Log error responses for debugging
- Implement retry logic for 429 and 500 errors only
- Do not retry 400, 401, 402, or 403 errors — fix the underlying issue first
- Show user-friendly messages to your end users

## Credit Usage & Tracking
URL: https://sakurasms.com/resources/knowledge/credit-usage-tracking
Category: billing
Monitor your credit consumption and understand how credits are deducted.
How Credits Work
One credit = one SMS segment (up to 160 characters). Messages longer than 160 characters consume multiple credits.
Credit Deduction Rules
- 1 credit per SMS segment (160 chars for GSM-7, 70 chars for Unicode/Swahili)
- Credits are deducted at send time, not delivery time
- Failed messages do NOT consume credits (refunded automatically)
- Scheduled campaigns reserve credits when scheduled, deduct when sent
Character Encoding
- GSM-7: Standard Latin characters — 160 chars per segment
- Unicode: Required for special characters and some Swahili accents — 70 chars per segment
Monitoring Your Balance
- Dashboard: Credits displayed in the main dashboard header
- Billing Page: Detailed transaction history and usage charts
- API: GET /api/v1/balance returns your current balance
- Webhooks: Configure a credits.low webhook for automatic alerts
Low Balance Alerts: Set up email notifications in Settings > Email Preferences to receive alerts when your balance drops below a threshold.

Creating Groups
- Go to Audience > Groups
- Click Create Group
- Name your group (e.g., "VIP Customers", "Dar es Salaam", "New Signups")
- Add contacts manually or during CSV import
Using Groups in Campaigns

- Geographic: Dar es Salaam, Dodoma, Arusha, Zanzibar
- Customer Type: VIP, Regular, New, Inactive

## API Key Security Best Practices
URL: https://sakurasms.com/resources/knowledge/api-key-security
Category: compliance
Protect your API keys and prevent unauthorized access to your account.
Securing Your API Keys
Your API key grants full access to send messages and manage contacts on your behalf. Treat it like a password.
DO:
- Store keys in environment variables (
SAKURA_API_KEY=sk_live_xxx)
- Use separate keys for production and staging
- Rotate keys every 90 days
- Revoke keys immediately if compromised
- Name keys descriptively (e.g., "Production Backend", "CI/CD Pipeline")
DO NOT:
- Hard-code keys in source code
- Commit keys to version control (Git)
- Expose keys in client-side JavaScript
- Share keys via email or chat
- Use the same key for multiple applications
If a Key is Compromised
- Go to Developer > API Keys immediately
- Click Revoke on the compromised key
- Generate a new key and update your application
- Check your sending history for unauthorized activity
- Contact support if you notice suspicious sends

## Common Delivery Issues
URL: https://sakurasms.com/resources/knowledge/common-delivery-issues
Category: troubleshooting
Diagnose and fix common SMS delivery problems.
Why Aren't My Messages Delivering?
Here are the most common delivery issues and how to resolve them.
1. Messages Stuck in "PENDING"
- Cause: Carrier network congestion or recipient phone is off
- Fix: Wait up to 48 hours. The carrier will retry delivery automatically.
2. High Failure Rate
- Cause: Outdated contact list with many invalid numbers
- Fix: Clean your contact list. Remove numbers that consistently fail.
3. Messages Flagged as Spam
- Cause: Sending identical messages to large groups without personalization
- Fix: Use merge variables like
{name}. Avoid ALL CAPS and excessive punctuation.
4. Sender ID Not Showing
- Cause: Sender ID not approved on all networks, or using numeric fallback
- Fix: Check your sender ID status in Settings. Some networks take 3-5 days to approve.
5. International SMS Not Delivering
- Cause: International routing not enabled or incorrect number format
- Fix: Ensure numbers include country code (e.g., 254 for Kenya). International SMS costs 80 TZS/msg.

## Sending Bulk SMS to Groups
URL: https://sakurasms.com/resources/knowledge/bulk-sms-groups
Category: sms-campaigns
Send targeted bulk SMS using contact groups, CSV uploads, and group workflows.
Targeted Group Messaging
Sending to pre-built groups is the most efficient way to run campaigns. This guide covers group creation, CSV workflows, and targeting strategies.
Creating Contact Groups
- Navigate to Audience in the sidebar
- Click Create Group and give it a descriptive name (e.g., "Dar es Salaam Customers")
- Add contacts manually, from existing contacts, or via CSV import
CSV Import Workflow
For large audiences, CSV is the fastest method:
- Prepare a CSV file with columns:
name, phone, email (optional), company (optional)
- Phone numbers must be in international format:
255XXXXXXXXX
- Go to Audience > Import and upload your file
- Map columns to contact fields
- Assign imported contacts to a new or existing group
Sending to Groups
- Open Compose SMS
- Under Recipients, select Contact Groups
- Choose one or more groups — recipients are automatically deduplicated
- Use personalization variables (
{name}, {company}) for tailored messages
Targeting Strategies
- Geographic — Group by city or region
- Behavioral — Group by purchase history or engagement
- Demographic — Group by industry, company size, or role
- Re-engagement — Create a group of inactive contacts for win-back campaigns
Group Maintenance
- Remove bounced or opted-out numbers regularly
- Use the Audience Cleaning tool to detect invalid numbers
- Merge duplicate groups when they overlap significantly
Pro Tip: Create a "VIP" group for your most engaged contacts and use it for exclusive offers. Smaller, targeted groups consistently outperform large blasts.

## WhatsApp Flows: Interactive Conversations
URL: https://sakurasms.com/resources/knowledge/whatsapp-flows-guide
Category: whatsapp
Create interactive WhatsApp flows with forms, menus, and data collection templates.
What Are WhatsApp Flows?
WhatsApp Flows allow you to create structured, interactive experiences within WhatsApp. Think of them as mini-apps: forms, surveys, appointment bookings, and multi-step menus that your customers complete without leaving the chat.
Creating a Flow
- Navigate to WhatsApp > WA Flows in the sidebar
- Click Create Flow
- Choose a template or start from scratch
- Give your flow a name and select a category (e.g., Survey, Lead Capture, Appointment)
Flow Builder
The visual builder lets you design multi-screen flows:
- Screens — Each screen is a step in the flow (welcome, questions, confirmation)
- Input Types — Text fields, dropdowns, date pickers, radio buttons, checkboxes
- Navigation — Connect screens with Next/Back buttons
- Completion — Define what happens when the flow is finished
Sending a Flow
- Flows are sent as special WhatsApp messages with a "Start" button
- You can attach a flow to a broadcast, trigger it from an automation, or share the link directly
- Recipients tap the button to begin the interactive experience
Viewing Responses
- Go to WA Flows > [Your Flow] > Responses
- View individual responses or export all data as CSV
- Responses include timestamp, phone number, and all field values
- Use the analytics dashboard to see completion rates and drop-off points
Flow Templates
- Customer Feedback — Rating + comment form
- Lead Capture — Name, email, interest fields
- Appointment Booking — Date/time selection with confirmation
- Order Form — Product selection with quantity and delivery details
Important: WhatsApp Flows require an approved WhatsApp Business API account. Your flow templates must comply with Meta's commerce and messaging policies.

## WhatsApp Broadcast Messaging
URL: https://sakurasms.com/resources/knowledge/whatsapp-broadcast-guide
Category: whatsapp
Send approved template broadcasts to groups via WhatsApp Business API.
Reaching Customers on WhatsApp
WhatsApp broadcasts let you send pre-approved template messages to large audiences. Unlike SMS, WhatsApp messages support rich media, buttons, and interactive elements.
Prerequisites
- Active WhatsApp Business API connection (configured in Settings)
- At least one approved message template
- Contact group with valid WhatsApp numbers
Creating a Broadcast
- Go to WhatsApp > Broadcast
- Select an approved template from the dropdown
- Choose your target audience (contact groups or manual selection)
- Fill in any template variables (e.g., customer name, order number)
- Preview the message as it will appear on the recipient's phone
- Click Send Broadcast or schedule for later
Template Types
- Marketing — Promotions, offers, product announcements
- Utility — Order updates, appointment reminders, delivery notifications
- Authentication — OTP codes, verification messages
Delivery and Reporting
- Track delivery status in real-time: sent, delivered, read, failed
- WhatsApp provides read receipts (blue ticks) for delivered messages
- Failed messages show specific error codes (e.g., number not on WhatsApp)
Best Practices
- Maintain a high quality rating by keeping opt-out rates low
- Use utility templates for transactional messages (higher delivery priority)
- Personalize every message — generic blasts get flagged by Meta
- Respect the 24-hour messaging window for non-template messages
Cost Note: WhatsApp broadcasts are charged per conversation (not per message). A conversation window lasts 24 hours from the first message. Rates vary by conversation category.

AI Auto-Reply
Enable AI auto-reply to handle common questions automatically:
- Go to Settings > AI & Automation
- Toggle on Auto-Reply
- The AI uses your Knowledge Base content to answer questions
- Unanswered questions are escalated to your inbox for human follow-up
Channel Indicators
- Each conversation shows an icon indicating the channel (SMS, WhatsApp, Web Chat)

Tip: Set up keyword-based auto-replies for common queries like "HOURS", "PRICE", or "LOCATION" to reduce your response time without AI.
---
## Automation Rules & Drip Sequences
URL: https://sakurasms.com/resources/knowledge/automation-rules-sequences
Category: ai-automation
Set up keyword-triggered automations, drip sequences, and view execution history.
Automate Your Messaging
Automations let you respond to customer actions without manual intervention. Set up rules that trigger messages based on keywords, schedules, or events.
Automation Rules
Rules execute when a specific condition is met:
- Keyword Trigger — When a customer sends "MENU", auto-reply with your menu
- Time Trigger — Send a follow-up 24 hours after a purchase
- Event Trigger — Welcome message when a new contact is added
Creating a Rule
- Navigate to Automations in the sidebar
- Click Create Rule
- Define the trigger: keyword match, schedule, or event
- Set the action: send SMS, send WhatsApp template, add to group, or webhook
- Configure conditions: time window, sender group, channel filter
- Activate the rule
Drip Sequences
Drip sequences send a series of messages over time. Perfect for onboarding, education, or nurturing leads.
- Create a sequence with multiple steps (e.g., Day 1, Day 3, Day 7)
- Each step defines a message and delay
- Contacts enter the sequence when they match a trigger
- Contacts exit if they reply "STOP" or are manually removed
Example Drip Sequence: New Customer Welcome
- Immediately — "Welcome to [Brand]! Here's 10% off your first order: CODE10"
- Day 2 — "Did you know we offer free delivery in Dar es Salaam?"
- Day 5 — "Your discount expires in 2 days. Shop now: [link]"
- Day 7 — "We'd love your feedback. Reply 1-5 to rate your experience."
Execution History
Every automation execution is logged:
- View triggers, actions taken, and results in the Automation Log
- Filter by rule, date range, or status (success/failed)
- Debug failed executions with detailed error messages
Compliance: All automated messages must include an opt-out option (e.g., "Reply STOP to unsubscribe"). This is required by TCRA regulations.

- Toggle auto-reply on/off for each channel (SMS, WhatsApp, Web Chat)
- Set confidence threshold — AI only replies when it's confident in the answer
- Define escalation rules — what happens when the AI can't answer
- Configure business hours — AI can respond differently outside working hours
Testing the AI
- Use the Test Chat panel to simulate customer conversations
- Review AI responses before enabling them for real customers
- Check the AI logs for past interactions and accuracy metrics
Chat Widget AI
The website chat widget (red bubble on the marketing site) uses the same AI engine. Configure its behavior separately if needed — it can handle pre-sales questions, direct leads to signup, and provide instant support.
Best Practice: Review AI interactions weekly. Add new Q&A pairs for questions the AI couldn't answer. Over time, this dramatically improves automation rates.

## Lead Management & Chat Intelligence
URL: https://sakurasms.com/resources/knowledge/lead-management
Category: admin-management
Monitor chat leads, live conversations, and lead intelligence from the admin panel.
Capturing and Managing Leads
Every interaction on the platform generates potential leads. The lead management system helps admins track, qualify, and convert these leads.
Lead Sources
- Chat Widget — Visitors who interact with the website chatbot
- WhatsApp — Inbound WhatsApp messages from new contacts
- SMS Replies — Responses to campaigns from non-registered numbers
- API — Leads submitted via the developer API
Accessing Leads
- Navigate to Admin > Leads
- View all leads sorted by recency with status indicators
- Filter by source, date, status (New, Contacted, Qualified, Converted)
Live Conversations
- Monitor ongoing chat conversations in real-time
- See what the AI is responding and intervene if needed
- Take over a conversation from the AI for personalized handling
Lead Intelligence
Each lead profile includes:
- Contact Info — Name, phone, email (if provided)
- Conversation History — Full chat transcript
- Interest Signals — Products asked about, pricing inquiries
- Source & Timing — Where they came from and when
Lead Actions
- Follow Up — Send a personalized SMS or WhatsApp message
- Convert — Create a customer account from the lead
- Archive — Remove from active pipeline
- Export — Download leads as CSV for external CRM
Tip: Set up an automation rule to send a follow-up SMS to new chat leads within 5 minutes. Speed-to-lead is the strongest predictor of conversion.

## Webhook Setup & Testing
URL: https://sakurasms.com/resources/knowledge/webhook-setup
Category: developer-api
Create webhooks, configure event types, test with sample payloads, and verify signatures.
Real-Time Event Notifications
Webhooks push real-time event data to your server when things happen on Sakura SMS — message delivered, payment received, contact opted out, etc.
Creating a Webhook
- Go to Developer API > Webhooks
- Click Add Webhook
- Enter your endpoint URL (must be HTTPS)
- Select which events to subscribe to
- Save and activate
Available Event Types
message.sent — Message submitted to gateway
message.delivered — Delivery confirmed by network
message.failed — Delivery failed (with error code)
message.received — Inbound message received
credit.purchased — Credits added to account
credit.low — Balance below threshold
contact.opted_out — Contact sent STOP
Payload Format
All webhook payloads are JSON with this structure:
{
"event": "message.delivered",
"timestamp": "2024-01-15T10:30:00Z",
"data": {
"message_id": "msg_abc123",
"phone": "255712345678",
"status": "delivered",
"sender_id": "SAKURA"
}
}
Signature Verification
Every webhook request includes an X-Sakura-Signature header. Verify it to ensure the request came from Sakura SMS:
- Compute HMAC-SHA256 of the raw request body using your webhook secret
- Compare the result with the signature header
- Reject requests that don't match
Testing Webhooks
- Use the Test button next to each webhook to send a sample payload
- Use webhook.site as a temporary endpoint during development
- Check the webhook delivery log for request/response details and retry history
Retry Policy
- Failed deliveries are retried 3 times with exponential backoff (1 min, 5 min, 30 min)
- Webhooks returning non-2xx status codes are marked as failed
- Consistently failing webhooks are automatically disabled after 24 hours
Security: Always verify webhook signatures. Never trust webhook data without verification, as endpoint URLs can be discovered or guessed.

## Developer Quick Start Guide
URL: https://sakurasms.com/resources/knowledge/developer-quickstart
Category: developer-api
End-to-end: get API key, send first SMS, check delivery, and set up webhooks.
From Zero to First SMS in 5 Minutes
This guide walks you through the complete developer workflow: authentication, sending your first message, checking delivery, and receiving real-time updates.
Step 1: Get Your API Key
- Log into your Sakura SMS account
- Go to Developer API in the sidebar
- Click Generate API Key
- Copy the key immediately — it's only shown once
- Store it securely (environment variable, secrets manager — never in source code)
Step 2: Send Your First SMS
Make a POST request to the Send SMS endpoint:
curl -X POST https://sakurasms.com/api/v1/sms/send \
-H "Authorization: Bearer YOUR_API_KEY" \
-H "Content-Type: application/json" \
-d '{
"to": "255712345678",
"message": "Hello from Sakura SMS API!",
"sender_id": "SAKURA"
}'
Response:
{
"success": true,
"message_id": "msg_abc123",
"credits_used": 1,
"credits_remaining": 499
}
Step 3: Check Delivery Status
Poll the delivery status endpoint:
curl https://sakurasms.com/api/v1/sms/status/msg_abc123 \
-H "Authorization: Bearer YOUR_API_KEY"
Possible statuses: queued, sent, delivered, failed
Step 4: Set Up Webhooks (Recommended)
Instead of polling, receive real-time delivery updates:
- Go to Developer API > Webhooks
- Add your endpoint URL
- Subscribe to
message.delivered and message.failed events
- See the Webhook Setup Guide for details
Step 5: Send to Multiple Recipients
curl -X POST https://sakurasms.com/api/v1/sms/send-bulk \
-H "Authorization: Bearer YOUR_API_KEY" \
-H "Content-Type: application/json" \
-d '{
"recipients": ["255712345678", "255765432100"],
"message": "Bulk message via API",
"sender_id": "SAKURA"
}'
SDKs & Libraries
We provide official SDKs for popular languages. See the SDKs & Libraries article for installation and usage.
Rate Limits: The API allows 100 requests/minute per API key. For higher throughput, contact us for an enterprise key. See
Rate Limits for details.

## How to Deploy Your Website or Web App on SakuraHost
URL: https://sakurasms.com/resources/knowledge/deploy-website-or-web-app
Category: sakurahost
Customer asks for deploy docs/guides (mwongozo wa kupeleka tovuti au web app)? Send these exact links. Which hosting to use: https://billing.sakurahost.co.tz/knowledgebase/120/ — HTML/PHP/WordPress site upload (cPanel): https://billing.sakurahost.co.tz/knowledgebase/119/ — Node.js/Next.js/React app (cPanel Application Manager, needs Web App Hosting): https://billing.sakurahost.co.tz/knowledgebase/117/. Django/Python app (cPanel Application Manager, Python 3.9, Django 4.2 LTS): https://billing.sakurahost.co.tz/knowledgebase/121/. Ask what the app is built with before choosing.
Deploying on SakuraHost
Pick the guide that matches what you are deploying. All guides are public and free to share with customers.
Key points
- Shared hosting plans (Start-Up, Swala, Sungura, Faru) are for PHP and static sites. Node.js apps need Web App Hosting, which runs apps through cPanel's Application Manager (under Software), not "Site Software" or "Setup Node.js App".
- For Node apps, the Application Path in Application Manager must match the folder that holds the code, and the entry file should be
app.js. Use Restart in Application Manager after uploading changes.
- Web App Hosting customers with an Active service can also use the one-time GitHub deploy form in the client area.
- If the customer is stuck, ask which framework they use and their domain, then send the matching guide link above. Escalate to a human agent if they need hands-on help.

## SakuraHost Shared Hosting Plans
URL: https://sakurasms.com/resources/knowledge/hosting-plans
Category: sakurahost
Compare all shared hosting plans — Start-Up, Swala, Sungura, and Faru — with pricing, storage, and features. Also covers WordPress Hosting, which is the same plans under a WordPress-specific page.
SakuraHost Shared Hosting
All shared hosting plans include cPanel, free SSL, LiteSpeed web server, 99.9% uptime SLA, 24/7 support in Swahili and English, and a same-day money-back guarantee. Paying annually is meaningfully cheaper than monthly on every plan that offers both.
"WordPress Hosting" (sakurahost.co.tz/wordpress-hosting-tanzania) is not a separate product — it's these exact same Start-Up/Sungura/Faru plans, same prices, same pids, marketed on a WordPress-specific page since every plan ships 1-click WordPress install and staging. Answer WordPress hosting pricing questions with the table below.
Plans & Pricing
| Plan | Price/Year | Price/Month | Storage | Databases | Email Accounts |
| Start-Up | TZS 55,000 | TZS 9,000 | 1 GB NVMe | 15 | 20 |

- Sungura (TZS 159,000/yr): Great for growing businesses needing a domain, CDN, and daily backups.

Running more than one website? These plans are built for a single site each. See Premium Hosting (Nyati, Tembo, Simba) for 2, 10, or unlimited websites on one account.

## SakuraHost Premium Hosting Plans — Nyati, Tembo, Simba
URL: https://sakurasms.com/resources/knowledge/premium-hosting-plans
Category: sakurahost
Multi-website hosting plans for growing businesses and agencies — Nyati (2 sites), Tembo (10 sites, most popular), Simba (unlimited sites).
SakuraHost Premium Hosting
Premium Hosting is built for businesses and agencies running more than one website on a single account. Every plan includes NVMe SSD storage, unlimited email/MySQL/FTP, a free wildcard SSL certificate, daily backups with on-demand restore, staging environments, and 24/7 priority support — paid with M-Pesa, Mixx by YAS, Selcom, or CRDB.
Plans & Pricing
| Plan | Annual | Monthly | Websites | Storage | Inodes | Node.js Apps |
| Nyati | TZS 439,000 | TZS 68,000 | 2 | 20 GB NVMe | 350,000 | 3 |
| Tembo (Most Popular) | TZS 699,000 | TZS 108,000 | 10 | 50 GB NVMe | 500,000 | 5 |
| Simba | TZS 999,000 | TZS 155,000 | Unlimited | Unlimited* | 1,000,000 | Unlimited |
*Unlimited storage on Simba is under a fair-use policy. Paying annually gives 2 months free versus paying monthly.
What Makes Premium Different from Shared Hosting
- Multiple websites, one account: Shared Hosting plans (Start-Up, Swala, Sungura, Faru) are built for a single site each. Premium plans host 2, 10, or unlimited sites under one login.
- Simba only — Dedicated IP address (not shared with other accounts).
- Simba only — Hourly database snapshots in addition to daily full backups.
- Higher inode allowances (350k / 500k / 1,000,000) for accounts running many small files across multiple sites.
Migration by Plan
- Nyati: Free website migration.
- Tembo: Priority free migration.
- Simba: White-glove migration — the SakuraHost team handles everything.
Which Premium Plan Should I Choose?
- Nyati (TZS 439,000/yr): A business running 2 websites (e.g. a main site plus a landing page or client project) that has outgrown a single-site plan.
- Tembo (TZS 699,000/yr): Agencies and businesses managing up to 10 websites — the most popular Premium plan, with priority phone support.
- Simba (TZS 999,000/yr): Agencies or businesses with unlimited websites, needing a dedicated IP and the fastest possible recovery point via hourly database snapshots.

## SakuraHost Web Apps Hosting — Starter, Developer, Business
URL: https://sakurasms.com/resources/knowledge/web-apps-hosting
Category: sakurahost
Managed hosting for Node.js, Next.js, React, and API-based web applications — Starter, Developer, and Business plans, provisioned via cPanel's Node.js App Manager.
SakuraHost Web Apps Hosting
Built for Node.js, Next.js, React, and other modern web applications and APIs — not static/PHP sites (see Shared Hosting or Premium Hosting for those). Apps run under cPanel's Node.js App Manager with Passenger, NVMe SSD storage, free SSL, and 24/7 support — paid with M-Pesa, Mixx by YAS, Selcom, or CRDB.
Plans & Pricing
| Plan | Annual | Monthly |
| Starter | TZS 150,000 | TZS 23,250 |
| Developer | TZS 350,000 | TZS 54,250 |
| Business | TZS 750,000 | TZS 116,250 |
Paying annually is substantially cheaper than monthly on every plan — ask sales for the exact savings if a customer is comparing.
Which Plan Should I Choose?
- Starter: A single small app or API, low traffic — personal projects, MVPs, staging environments.
- Developer: A production app with real traffic, or a developer/freelancer running a few client apps on one account.
- Business: Multiple production apps, higher traffic, or an agency managing several client deployments.
What Every Plan Includes
- cPanel's "Setup Node.js App" interface — Restart, Run NPM Install, environment variables, all self-service, no shell access needed
- Free SSL, NVMe SSD storage
- 24/7 support in Swahili and English
Important — after every code deploy, the app must be manually restarted. Uploading new files alone does NOT restart a running Node.js app (this is standard Passenger/Node behavior, not a SakuraHost limitation). The customer restarts it themselves: cPanel → Software → Setup Node.js App → click their app → Restart. This is the single most common "my changes aren't showing" ticket for this product — always check this first before escalating.

Send SMS via API
The Sakura SMS API lets you send SMS messages programmatically. This guide covers authentication, the correct request format, and working examples in multiple languages.
Endpoint
POST https://sakurasms.com/api/v1/messages
Authentication
Include your API key as a Bearer token in the Authorization header:
Authorization: Bearer sk_live_your_api_key
Generate API keys at Portal > Developer > API Keys.
Request Body
| Field | Type | Required | Description |
to | string or string[] | Yes | Recipient number(s). Format: 255XXXXXXXXX or 07XXXXXXXX |
sender | string | Yes | Your approved sender name (max 11 characters) |
message | string | Yes | SMS text content |
idempotency_key | string | No | Unique key to prevent duplicate sends |
Important: The field name is sender (not from, senderId, or sender_id). Using the wrong field name will return a 422 error.

## My Sender ID Was Rejected or Is Still Pending
URL: https://sakurasms.com/resources/knowledge/sender-id-rejected-or-pending
Category: troubleshooting
Why a Sender ID gets rejected or stays pending, and exactly how to get it approved.
Sender ID Approvals — What's Going On
Your Sender ID is the name recipients see instead of a phone number. In Tanzania these are registered with the networks through TCRA, so approval isn't instant — and a few things can hold it up. Here's how to get unstuck.
Still pending?
Fresh Sender IDs typically take 1–3 business days while the networks register the name. If it's been longer than that, it usually means one of the networks flagged it for a manual check. You don't need to do anything — but message us and we'll chase it directly with the carrier.
Common reasons for rejection
- Looks like another brand: Names that resemble a bank, MNO, or well-known company are blocked to prevent impersonation. Use your own registered business name.
- Generic or misleading words: Things like "INFO", "VERIFY", "OTP", "PROMO" or "WINNER" are often refused. Use your brand, not a function.
- Too long: Sender IDs are max 11 characters (letters/numbers, no spaces).
- No supporting documents: For a business name, the networks may ask for your business registration or a letter of authorisation.
How to fix it
- Pick a Sender ID that matches your registered business or product name.
- Keep it to 11 characters or fewer, no spaces.
- If we ask for documents, send your business registration (or a brief authorisation letter on letterhead).
- Resubmit from Portal > Sender IDs, or just tell us the name you want and we'll register it for you.
In a hurry? Tell us your business name and what you'll use it for, and we'll handle the registration and follow up with the networks for you.

## OTP / Verification Codes Aren't Arriving
URL: https://sakurasms.com/resources/knowledge/otp-codes-not-arriving
Category: troubleshooting
Step-by-step fixes when one-time passwords or 2FA codes don't reach your users.
When OTP Codes Don't Land
OTPs are time-sensitive, so a delay feels like a failure. Most of the time it's one of a handful of causes — here's how to tell which.
First, check the delivery report
Open Portal > History and find the message. The status tells you a lot:
- DELIVERED — it reached the handset. If the user still can't see it, ask them to check spam/blocked-sender filters, or that the phone has signal.
- FAILED / REJECTED — the network refused it. Usually a wrong number format, a blocked Sender ID, or content the carrier filtered.
- PENDING / DISPATCHED — still in transit. Brief network congestion or the phone is off/out of coverage.
Common causes & fixes
- Wrong number format: Always send in international format —
2557XXXXXXXX. A leading 0 or + mismatch is the #1 cause.
- Out of credits: If your balance hit zero, sending pauses. Check Portal > Billing and top up.
- Sender ID not approved: If your Sender ID is still pending, codes may not go out. See "My Sender ID Was Rejected or Is Still Pending".
- Content filtering: Avoid links and money words in the OTP body — keep it to the code and your brand.
- Rate limits on your side: Sending many codes to the same number in seconds can trip anti-spam rules. Add a short cooldown and a resend limit.
Build OTP the reliable way
Use the Verify API rather than raw SMS sends — it handles channel fallback and expiry for you. See the developer docs at Portal > Developer.
Still stuck? Send us the affected phone number and roughly when you sent the code — we'll trace it through the gateway and tell you exactly what happened.

## WhatsApp Messages or Templates Won't Send
URL: https://sakurasms.com/resources/knowledge/whatsapp-messages-not-sending
Category: troubleshooting
Fix WhatsApp template rejections, the 24-hour window, and messages that won't deliver.
WhatsApp Sending Issues
WhatsApp has stricter rules than SMS because Meta controls the channel. Almost every "it won't send" comes down to one of three things.
1. The 24-hour window
You can only send free-form messages within 24 hours of the customer's last message. Outside that window, you must use a pre-approved template. If a normal message fails with a window error, send an approved template to re-open the conversation.
2. Template rejected or pending
- Pending: New templates take up to 24 hours for Meta to review.
- Rejected: Usually promotional content in a Utility template, placeholder errors (e.g.
{{1}} with no sample), or wording Meta considers spammy. Fix the category/wording and resubmit from Portal > WhatsApp > Templates.
3. Quality or limits
- Number quality dropped: Too many blocks/reports lowers your quality rating and tier. Send only to opted-in contacts and keep content relevant.
- Messaging limit reached: New numbers start at a daily cap that rises as quality stays high.
Quick checklist
- Is the recipient within the 24-hour window? If not, use a template.
- Is the template approved (not pending/rejected)?
- Are you within your plan's conversation allowance? Check Portal > WhatsApp.
- Is the number in
2557XXXXXXXX format and on WhatsApp?
Need a template approved fast? Tell us what you want to say and the category, and we'll draft it to pass review the first time.

## Common API Errors and What They Mean
URL: https://sakurasms.com/resources/knowledge/api-error-codes
Category: troubleshooting
Decode 401, 402, 422 and rate-limit errors from the Sakura SMS API and fix them fast.
API Errors, Translated
If your integration is throwing errors, the status code tells you what to fix.
401 Unauthorized
Your API key is missing, wrong, or revoked. Check the Authorization header and confirm the key under Portal > Developer. Regenerate it if you're unsure — old keys stop working immediately when you do.
402 / Insufficient Credits
Your balance can't cover the send. Top up at Portal > Billing. Tip: set a low-balance alert so this never interrupts production traffic.
422 Unprocessable
The request reached us but a field is invalid. Usual culprits: a phone number not in 2557XXXXXXXX format, an empty message body, or a Sender ID that isn't approved on your account.
429 Too Many Requests
You're sending faster than your rate limit. Batch recipients into a single bulk call instead of many single calls, and add a small backoff on retry.
5xx Server errors
Rare, and on us — retry with exponential backoff. If it persists, send us the request ID from the response and we'll investigate immediately.
Good habits
- Always send an idempotency key so retries don't double-send.
- Log the full response body — our errors include a human-readable reason.
- Use webhooks for delivery status instead of polling.
Stuck on an error? Send us the endpoint, the request (minus your key), and the response — we'll pinpoint it.

## My Domain or Website Isn't Working
URL: https://sakurasms.com/resources/knowledge/domain-or-website-not-working
Category: sakurahost
Troubleshoot a domain that won't resolve, DNS propagation, and pointing a domain to your app.
Domain & Website Troubleshooting
If your site isn't loading or your domain "isn't working", it's almost always DNS. Here's how to narrow it down.
Just registered or just changed DNS?
DNS changes take time to spread across the internet — usually 30 minutes to a few hours, occasionally up to 24. If you only just made the change, give it a little time before assuming something's broken.
Where is the domain pointed?
- Hosted with us: Your domain should use our nameservers and an A record to your hosting IP. If the site shows a blank page or directory listing, that's a server-side config we fix for you.
- App hosted elsewhere (Bolt, Vercel, Netlify, etc.): The platform gives you a DNS record — an A record (IP) and/or a CNAME. Those go into your domain's DNS with us. Send us exactly what the platform shows and we'll add it.
Common situations
- "This site can't be reached": DNS not pointed yet, or still propagating.
- Security/SSL warning: The certificate is missing or still issuing. We'll re-issue it — give it a few minutes after DNS is correct.
- Old site still showing: Your device cached the old DNS. Try another network or device to confirm.
- Email stopped after moving DNS: Your MX records need to be re-added. Tell us and we'll restore them.
We'll just do it. DNS, A/CNAME records, SSL and email routing are server-side fixes our team handles directly. Send us the domain and what you're trying to reach, and we'll sort it.

## I Paid But My Credits / Balance Haven't Updated
URL: https://sakurasms.com/resources/knowledge/payment-made-but-not-reflecting
Category: billing
What to do when a top-up or payment doesn't show up on your account yet.
Paid, But Nothing Changed Yet?
Most mobile-money and bank top-ups land within a few minutes, but a few things can delay them. Here's how to get it sorted quickly.
Give it a few minutes
Mobile-money confirmations can lag during peak times. Refresh Portal > Billing after about 5 minutes before doing anything else.
If it still hasn't shown
Have these ready — they let us match the payment instantly:
- The transaction/reference number from the M-Pesa, Tigo Pesa, Mixx, or CRDB confirmation SMS.
- The amount and the date/time you paid.
- The phone number or account you paid from.
Send those to us and we'll apply the credit to your account right away.
Common reasons for a delay
- Paid to the wrong paybill/number: We'll still trace it — send the reference.
- Name/number doesn't match your account: Common when someone pays on your behalf. Tell us who paid.
- Bank transfer: Bank settlements can take longer than mobile money — same process, send the reference.
We never ask you to resend money. If a payment was made, it can be traced and applied. Just send the reference number.

## How Billing & Credits Work
URL: https://sakurasms.com/resources/knowledge/how-billing-and-credits-work
Category: billing
Understand SMS pay-as-you-go credits, WhatsApp monthly plans, and what 'paused' means.
How You're Billed
Sakura keeps billing simple, but SMS and WhatsApp work differently — here's the full picture.
SMS — pay as you go
- You buy credits up front and spend them as you send. Credits never expire.
- Pricing is per SMS and gets cheaper at volume — from TZS 22 down to TZS 13/SMS at scale. International is billed at a higher rate.
- One SMS = one segment (160 characters for normal text, 70 for messages with special/Swahili characters). Long messages use multiple credits.
- If your balance reaches zero, sending simply pauses until you top up — it's not a missed payment or a penalty. Nothing is lost; you pick up exactly where you left off.
WhatsApp — monthly plans
- WhatsApp is billed as a monthly plan based on conversation volume (Starter, Growth, Business, Enterprise), plus a one-time setup fee.
- Each plan includes a conversation allowance; beyond it you pay a small per-conversation overage.
- All plans include unlimited agent seats.
Invoices & receipts
Every top-up and plan charge has a record under Portal > Billing, where you can download receipts. Need a formal invoice with your business details for accounting? Just ask and we'll issue one.
Not sure what you're being charged for? Send us the date and amount and we'll break it down line by line.
---
## Refunds & Credit Adjustments
URL: https://sakurasms.com/resources/knowledge/refunds-and-credit-adjustments
Category: billing
When refunds apply, how credit adjustments work, and how to request one.
Refunds & Adjustments
We want you paying only for what you actually use. Here's how we handle money that needs to go back.
When we adjust or refund
- Double payment: Paid twice by mistake? We credit the duplicate back to your balance, or refund it on request.
- Failed sends on our side: If messages failed due to a gateway issue on our end, those credits are returned.
- Wrong top-up amount: Topped up the wrong account or amount — we'll move it to the right place.
How credits usually work vs cash refunds
Because SMS credits never expire, the fastest resolution is almost always a credit adjustment to your balance. Cash refunds back to mobile money or bank are available where appropriate and may take a little longer to settle.
How to request one
- Tell us what happened and the amount involved.
- Include the transaction/reference number (from your payment SMS) where relevant.
- We'll verify against our records and confirm the adjustment or refund.
Genuinely charged for something you didn't use? Flag it — we'll look into it and make it right.

## Changing or Upgrading Your Plan
URL: https://sakurasms.com/resources/knowledge/change-or-upgrade-your-plan
Category: billing
How to upgrade, downgrade, or change your SMS volume or WhatsApp plan.
Changing Your Plan
Your needs change — your plan can too. Here's how each side works.
SMS volume
There's nothing to "upgrade" for SMS — it's pay as you go. To get a better per-SMS rate, simply buy a larger credit pack; the volume tier applies automatically. If you send at high volume every month, ask us about a custom rate.
WhatsApp plan
- Upgrade (e.g. Starter → Growth) any time for a higher conversation allowance and more features — it takes effect immediately.
- Downgrade applies from your next billing cycle so you keep what you've paid for this month.
- Manage it from Portal > WhatsApp, or tell us which plan you want and we'll switch it.
Not sure which plan fits?
Tell us roughly how many conversations or messages you send a month and what you're trying to do — we'll recommend the most cost-effective option, not the biggest one.
Growing fast? If you're consistently hitting your allowance, an upgrade is usually cheaper than overage. We'll do the math with you.

## DNS Records Explained: A to Z Guide
URL: https://sakurasms.com/resources/knowledge/dns-records-explained
Category: dns-networking
Every DNS record type explained clearly — A, AAAA, CNAME, MX, TXT, NS, SRV, and more.
What is DNS?
DNS (Domain Name System) is the internet's phone book. When someone types your domain (e.g. sakurahost.co.tz), DNS translates it into the IP address of your server. Without DNS, visitors would need to memorise numbers like 178.105.37.129 instead of your domain name.
A Record — Points to IPv4
The most fundamental record. Maps your domain directly to an IPv4 address.
sakurahost.co.tz A 38.242.207.141
Use this to point your domain or a subdomain to your server's IP address.
AAAA Record — Points to IPv6
Same as A but for IPv6 addresses. Most servers still use IPv4 — only add AAAA if your host specifically provides an IPv6 address.
CNAME Record — Alias
Points one domain to another domain (not an IP). Classic uses: www.yoursite.co.tz → yoursite.co.tz or shop.yoursite.co.tz → yourshop.myshopify.com.
Rule: Never use CNAME on your root domain — only on subdomains.
MX Record — Email Routing
Tells the internet which server handles email for your domain. Each MX record has a priority number — lower = higher priority.
yoursite.co.tz MX 10 mail.yoursite.co.tz
yoursite.co.tz MX 20 mail2.yoursite.co.tz
If you use Google Workspace or Microsoft 365, they provide the specific MX values.
TXT Record — Verification and Email Auth
Stores text data for verification and authentication. Critical uses: SPF, DKIM, DMARC, and domain verification for Google, Meta Business Manager, etc.
NS Record — Nameservers
Delegates control of your domain's DNS to specific nameservers. Sakurahost domains use ns-tz1 through ns-tz4.sakurahost.co.tz — all four are required for redundancy.
SRV Record — Service Location
Used for specific services like VoIP (SIP) or Microsoft Teams. Only needed when a provider explicitly instructs you to add one.
TTL — Time To Live
Controls how long DNS records are cached by ISPs. Use 300 (5 min) before planned changes, 3600 (1 hour) for normal records, 86400 (24 hours) for stable records.
Managing DNS with Sakurahost? All DNS changes for domains registered through us can be managed from your billing portal. Changes usually propagate in 5–15 minutes.

## Setting Up SPF, DKIM, and DMARC
URL: https://sakurasms.com/resources/knowledge/email-authentication-dmarc-dkim-spf
Category: dns-networking
Stop your emails landing in spam. A complete guide to email authentication records for Tanzanian businesses.
Why Your Emails Land in Spam
The most common cause of business emails landing in spam is missing authentication records. SPF, DKIM, and DMARC are three TXT records that prove your emails are legitimate.
SPF — Sender Policy Framework
Tells the world which mail servers are authorised to send email from your domain. Add as a TXT record on your root domain:
v=spf1 include:mail.sakurahost.co.tz ~all
If you also send via Google Workspace: v=spf1 include:_spf.google.com include:mail.sakurahost.co.tz ~all
Critical: You can only have one SPF record. Merge all sending services into a single record.
DKIM — DomainKeys Identified Mail
Adds a cryptographic signature to every outgoing email. Your email provider generates a key pair and gives you a TXT record like:
Name: default._domainkey.yoursite.co.tz
Value: v=DKIM1; k=rsa; p=MIIBIjAN...
Copy exactly — one wrong character breaks it.
DMARC — Policy Layer
Tells receiving servers what to do when an email fails SPF or DKIM:
_dmarc.yoursite.co.tz TXT "v=DMARC1; p=none; rua=mailto:dmarc@yoursite.co.tz"
Start with p=none (monitor only), then move to p=quarantine, then p=reject once you're confident in your setup.
Setup Order
- Set up SPF
- Enable DKIM with your email provider
- Add DMARC with p=none
- Monitor reports for 2 weeks
- Move to p=quarantine, then p=reject
Sakurahost Business Email customers: We pre-configure SPF and DKIM for you. Contact support and we'll add DMARC to complete your setup.

## DNS Propagation: Why Your Domain Isn't Working Yet
URL: https://sakurasms.com/resources/knowledge/dns-propagation-guide
Category: dns-networking
What DNS propagation is, how long it takes, and how to check progress across global DNS servers.
What is DNS Propagation?
When you change a DNS record or move your domain to new nameservers, DNS servers around the world cache the old records until they expire (based on TTL). The time for the new record to be seen globally is called DNS propagation.
How Long Does It Take?
- Single record change (A, MX, TXT) — 5 minutes to 4 hours, depending on your TTL.
- Nameserver change — 2 to 48 hours. For .co.tz domains, TZNIC typically processes changes within 1–4 hours during business hours.
- New domain registration — Usually live within 30 minutes to 2 hours.
How to Check Propagation Progress
- Use the DNS Check tool at sakurahost.co.tz/whois
- Run:
nslookup yourdomain.co.tz 8.8.8.8 (queries Google DNS directly, bypassing local cache)
Speed Up Future Changes
Before making planned DNS changes, lower your TTL to 300 seconds and wait 24 hours. When you make the change, it propagates in minutes. Raise TTL back to 3600 after the change is live.
Common "Domain Not Working" Causes
- TTL hasn't expired yet — wait it out
- Wrong IP address in A record
- Nameservers not yet propagated
- SSL not yet issued for the new server (auto-issues after propagation)
- Web server not configured for the domain

## Connecting Your Domain to Web Hosting
URL: https://sakurasms.com/resources/knowledge/connect-domain-to-hosting
Category: dns-networking
Step-by-step guide for pointing any domain to your Sakurahost web hosting account.
Two Ways to Connect Your Domain
Method 1: Change Nameservers (Recommended)
If your domain is registered elsewhere, update nameservers to:
- ns-tz1.sakurahost.co.tz
- ns-tz2.sakurahost.co.tz
- ns-tz3.sakurahost.co.tz
- ns-tz4.sakurahost.co.tz
After propagation (2–24 hours), your domain resolves through our servers and hosting is live automatically.
Method 2: Update A Record Only
If you want to keep other DNS settings at your current registrar, just update the A record to your Sakurahost server IP:
yourdomain.co.tz A [server-ip]
www.yourdomain.co.tz A [server-ip]
After Connecting
- Wait for propagation (5 min–24 hours)
- SSL certificate issued automatically via Let's Encrypt within 5 minutes of propagation
- Website live at both http:// and https://
Domain registered with Sakurahost? It's automatically pointed to your hosting — just upload your files via cPanel File Manager.

## Which Hosting Plan is Right for Your Business?
URL: https://sakurasms.com/resources/knowledge/choose-right-hosting-type
Category: it-infrastructure
Compare shared, VPS, dedicated, and cloud hosting to find the right fit for your Tanzania business.
Choosing the Right Hosting
Shared Hosting — TZS 7,000–35,000/month
Best for: Brochure websites, portfolios, small business sites, blogs, NGO/church websites — one website per account.
Your website shares server resources with others. Low cost but not ideal for high-traffic sites (5,000+ daily visitors) or resource-intensive apps.
Includes: cPanel, free SSL, email hosting, one-click WordPress, daily backups.
Premium Hosting — TZS 43,900–99,900/month
Best for: Businesses or agencies running 2 to unlimited websites on one account (Nyati, Tembo, Simba).
Same cPanel experience as Shared Hosting, but built to host multiple sites at once — more storage, higher inode limits, and (on Simba) a dedicated IP with hourly database snapshots.
VPS (Virtual Private Server) — TZS 27,800–119,000/month
Best for: E-commerce stores, web applications, developer environments, medium-traffic sites.
Dedicated slice of a physical server — guaranteed CPU and RAM with root access to install any software.
Dedicated Server — from TZS 59,500/month
Best for: High-traffic platforms, SaaS products, financial applications, hosting resellers.
An entire physical server exclusively for you. Maximum performance, security isolation, and configuration flexibility.
Cloud/Web Apps Hosting
Best for: Node.js, Next.js, React apps, APIs, modern web applications.
Containerised, scales automatically. No server management required — just deploy your code.
Quick Decision Guide
- New business website? → Shared Hosting (Swala or Sungura)
- Online store with M-Pesa? → Shared Faru or VPS 1 Core
- Running 2-10 of your own websites? → Premium Hosting (Nyati or Tembo)
- Custom web app / API? → Web Apps Hosting or VPS
- Agency hosting 10+ client sites? → Premium Simba (unlimited sites) or Reseller Hosting
- Not sure? → Start with shared, upgrade anytime with no data loss
Free migration included: Moving from another host? Sakurahost migrates your files, databases, and email for free. Open a support ticket.

## Backup Best Practices for Tanzanian Businesses
URL: https://sakurasms.com/resources/knowledge/website-backup-strategy
Category: it-infrastructure
How to set up reliable backups for your website, database, and email to protect against data loss.
Why Backups Are Non-Negotiable
Ransomware, accidental deletion, failed updates, and hacking are real risks. Businesses without backups rarely fully recover from data loss.
Sakurahost Automatic Backups
- Daily backups retained for 7 days
- Weekly backups retained for 4 weeks
- Stored on a separate server (not the same machine as your data)
- Restore via cPanel > Backup Wizard or contact support
The 3-2-1 Backup Rule
3 copies of your data, on 2 different media, with 1 off-site:
- Copy 1: Your live website (server)
- Copy 2: Sakurahost automated backup
- Copy 3: Your local backup (computer or Google Drive)
Manual Backup via cPanel
- cPanel → Backup Wizard → Back Up
- Select Full Backup or individual components
- Download to your computer
WordPress Sites
Install UpdraftPlus (free plugin) to schedule automatic backups to Google Drive or Dropbox.
Test Your Restores
Every 3 months, restore your latest backup to a staging environment and verify everything works. A backup you've never tested is not a backup.
Already lost data? Contact support immediately — the sooner you act, the higher the chance of recovery. Don't make further changes to the server first.

## Getting the Most Out of cPanel
URL: https://sakurasms.com/resources/knowledge/cpanel-whm-guide
Category: it-infrastructure
Key cPanel features every Sakurahost customer should know — file management, databases, email, and more.
Your Hosting Control Panel
cPanel is the web-based control panel included with every Sakurahost shared and VPS hosting account. Access it at yourdomain.co.tz/cpanel or through your billing portal.
File Manager
Upload, edit, delete, and organise website files in the browser. Your website files go in public_html. Enable hidden files (like .htaccess) via Settings.
Email Accounts
- cPanel → Email Accounts → Create
- Set username (e.g. info), domain, password
- Webmail at
mail.yourdomain.co.tz
- Phone/Outlook config: IMAP port 993 (SSL), SMTP port 587 (STARTTLS)
MySQL Databases
- cPanel → MySQL Databases → Create Database
- Create a Database User with a strong password
- Add user to database (grant All Privileges)
One-Click WordPress (Softaculous)
- cPanel → Softaculous Apps Installer → WordPress → Install Now
- Choose domain, set admin credentials, click Install
- WordPress live in under a minute
Free SSL Certificate
Every domain gets free Let's Encrypt SSL, auto-renewed every 90 days. If expired or missing: cPanel → SSL/TLS Status → Run AutoSSL.
Can't find something? The cPanel search bar at the top finds any feature — just type "email", "backup", "php", etc.

## IoT Hosting and Connectivity in Tanzania
URL: https://sakurasms.com/resources/knowledge/iot-connectivity-tanzania
Category: it-infrastructure
Hosting IoT applications, MQTT brokers, and real-time data pipelines in Tanzania — what works and what to avoid.
IoT in the East African Context
IoT applications in Tanzania typically involve sensors, smart meters, vehicle tracking, agricultural monitoring, or smart building systems. Connectivity is improving rapidly — but infrastructure choices matter more here than in Europe.
Connectivity in Tanzania
- 4G/LTE — Available in all major cities. Vodacom and Tigo have the widest coverage.
- 2G/GPRS — Still available in rural areas. IoT devices that must work everywhere should support 2G fallback.
- Fibre — Available in Dar es Salaam CBD and industrial areas. Best for fixed installations.
Host Locally vs. Abroad
Host on Sakurahost VPS when devices are in Tanzania — local latency is 5–15ms vs. 150ms+ to Europe. Also best for data sovereignty and TZS pricing.
Host on global cloud when you need specific managed IoT services or multi-country device deployment.
Recommended IoT Stack on Sakurahost VPS
- Protocol: MQTT via Mosquitto broker
- Database: TimescaleDB or InfluxDB for time-series data
- API layer: Node.js or Python FastAPI
- Alerts: Sakura SMS API for SMS/WhatsApp when thresholds are crossed
SMS + WhatsApp for IoT Alerts
Trigger alerts to operators when sensors breach thresholds — water level exceeded, power cut detected, temperature breach, vehicle entering/exiting geofence. Our API delivers in under 200ms.
Starting Small
A VPS 1-Core plan (TZS 27,800/month) handles 100+ connected devices. Start there and scale up.
Building an IoT product? Sakurahost can provision dedicated infrastructure with custom firewall rules, private networking, and SLA-backed uptime. Contact our enterprise team.

## Setting Up Google Analytics 4 (GA4) for Your Tanzania Business
URL: https://sakurasms.com/resources/knowledge/google-analytics-ga4-setup
Category: digital-marketing
How to install GA4, understand key metrics, and use data to grow your Tanzanian business online.
Why You Need Analytics
GA4 is free and shows you where your visitors come from, which pages they visit, and what makes them contact you or leave. This is the foundation of data-driven marketing.
Step 1: Create a GA4 Property
- Go to analytics.google.com
- Create account → create property
- Select Tanzania as country, TZS as currency
- Note your Measurement ID (starts with G-)
Step 2: Install
WordPress: Install "Site Kit by Google" plugin — connects GA4 in 2 minutes.
Custom website: Add the gtag.js snippet to your HTML <head> with your G- ID.
Key Metrics to Watch
- Users — unique visitors
- Engagement rate — higher is better (GA4 replaced bounce rate)
- Acquisition channels — Organic Search, Direct, Social, Referral
- Conversions — contact form submits, phone clicks, WhatsApp button clicks
Tanzania-Specific Insights
- Check Device category — expect 80%+ mobile in Tanzania
- Check Time of day — peak traffic is 9am–12pm and 7pm–10pm EAT
- Check Location — most traffic comes from Dar es Salaam, Arusha, Mwanza
Already have Universal Analytics? Google shut it down in 2024. If you haven't migrated to GA4, you're flying blind. Set it up today.

## Measuring SMS Campaign Performance
URL: https://sakurasms.com/resources/knowledge/sms-marketing-analytics
Category: digital-marketing
Key metrics for SMS marketing, how to calculate ROI, and what good benchmarks look like in Tanzania.
SMS Analytics That Matter
SMS has a 95%+ open rate within 3 minutes. But to get value, you need to measure beyond "sent".
Core Metrics
- Delivery rate — Target 95%+. Below 85% = list quality issues.
- Response / conversion rate — Good SMS campaigns in East Africa: 3–8%.
- Opt-out rate — Keep below 0.5%. High opt-outs = wrong audience or too frequent.
- Cost per conversion — Total SMS cost ÷ number of conversions.
Tracking Conversions from SMS
- Unique URL — e.g. yoursite.co.tz/sale-july. GA4 shows traffic from that URL following your SMS send time.
- Promo code — "Show this SMS for 20% off" — track code redemptions.
- Unique phone number — Dedicated call number per campaign.
Improving Poor Campaign Performance
If conversion rate is below 1%, check:
- Audience relevance — are you messaging people who want this?
- Message clarity — is the offer clear in 160 characters?
- Timing — Tuesday–Thursday, 9am–11am or 5pm–7pm EAT performs best in Tanzania
- CTA — "Call 0712 XXX XXX", "Visit link", "Reply YES"
- Sender ID — branded IDs get higher trust than numeric IDs
A/B testing: Send two different messages to 500 recipients each, see which performs better, then send the winner to the rest of your list.

## WhatsApp Business Marketing: Best Practices
URL: https://sakurasms.com/resources/knowledge/whatsapp-business-marketing
Category: digital-marketing
How to use WhatsApp Business API to market effectively and keep your number healthy in Tanzania.
WhatsApp Marketing Is Different from SMS
WhatsApp has stricter rules than SMS — but delivers richer engagement. Getting it right builds loyalty. Getting it wrong gets your number banned.
The Opt-In Requirement
You cannot send WhatsApp marketing to people who haven't opted in. Valid opt-in methods: website form checkbox, in-store QR code, SMS opt-in, or existing contacts who messaged you first.
Template vs. Free-Form Messages
Templates — Pre-approved by Meta. Used for outbound campaigns (promotions, alerts). Must be approved before use.
Free-form — Any message type, but only within 24 hours after a customer messages you.
Protect Your Quality Rating
- Only message opted-in contacts
- Max 1–2 marketing messages per week
- Make opt-out easy — "Reply STOP to unsubscribe"
- High block rate or report rate drops your quality and can get your number banned
High-Performing Message Types in Tanzania
- Flash sales with countdown urgency
- Order confirmation and delivery updates
- Appointment reminders (clinics, salons, banks)
- Loyalty reward notifications
- Product launches with images and order link
BSUID — July 2026 Update: Meta is rolling out Business-Scoped User IDs for WhatsApp users who adopt usernames. Sakura SMS will handle this automatically — no action needed on your end.

How to rank on Google in Tanzania — domain choice, local SEO, Swahili content, and technical basics.
Ranking on Google in Tanzania
Most Tanzanian businesses haven't invested in SEO — a modest investment now puts you at the top of results for high-value searches.
Domain Choice for Tanzania SEO
A .co.tz domain has a significant advantage: Google treats it as Tanzania-specific, local users trust it more, and it's easier to rank for "in Tanzania" searches. A .co.tz from Sakurahost is TZS 25,000/year.
Google Business Profile (Free — Do It Now)
The most impactful free SEO tool. It's why you appear on Google Maps and in local search results.
- Go to business.google.com
- Add business name, address, phone, website
- Verify and add photos, hours, description
- Request reviews from satisfied customers
On-Page SEO Essentials
- Page title with keyword: "Web Hosting Tanzania | Sakurahost" not just "Home"
- Mobile-friendly — 80% of TZ users are on mobile

- Image alt text — Google can't see images without it
Content Strategy for Tanzania
- Write in English AND Swahili — dual-language captures more searches
- Target "how to" and "best X in Tanzania" keywords
- Publish consistently — even one blog post per month builds authority

- Nationwide: Precision Air cargo, DHL Tanzania, PostaTZ
Marketing Your Store
- WhatsApp catalogue — most TZ buyers want to "see before they buy" on WhatsApp
- Facebook/Instagram — Tanzania has 6M+ active Facebook users
- SMS flash sales — highest conversion for repeat buyers
Start small: Launch with 10–20 products, nail your logistics, then expand. Many successful TZ e-commerce businesses started with a WhatsApp catalogue before building a full website.

## What is a CRM and Why Your Business Needs One
URL: https://sakurasms.com/resources/knowledge/what-is-crm
Category: crm-customer
CRM explained simply — how customer relationship management systems help Tanzanian businesses grow and retain customers.
Your Business Has a Memory Problem
When small, you remember every customer. As you grow, this breaks down — and you lose business because of forgotten follow-ups, missed opportunities, and poor service. A CRM gives your whole team a shared, organised view of every customer and every deal.
What a CRM Does
- Stores every call, email, purchase, complaint in one place
- Tracks your sales pipeline: Leads → Qualified → Proposal → Closed
- Reminds you to follow up — no lead falls through the cracks
- Shows your best customers — who buys most, most often, most profitably
- Powers bulk communication via Sakura SMS for targeted campaigns
Signs You Need a CRM
- Losing track of follow-ups and losing deals
- Customer data scattered across phones, WhatsApp, Excel
- Can't answer "how many leads did we get last month?" quickly
- New sales staff can't see what was promised to existing customers
CRM Options for Tanzanian Businesses
Zoho CRM (from $14/user/month) — Full-featured, strong automation, good mobile app. Best for sales teams of 5+. Available via Sakurahost with setup and training.
Perfex CRM (self-hosted, one-time cost) — Invoicing, projects, contracts, HR in one. Best for service businesses. Hosted on Sakurahost infrastructure.
HubSpot (free tier) — Generous free plan, strong marketing automation. Good for startups.
Start simple: Collect all customer contacts in one Google Sheet with columns for last contact date, status, and next action. Review it every Monday. When this gets painful (usually at 100+ contacts), you're ready for a CRM.

CRM + SMS/WhatsApp — The Power Combination
Your CRM knows who your customers are and what stage they're at. Sakura SMS delivers messages in seconds. Together they automate communication that would take hours of manual work.
What to Automate

- Quote sent → SMS "Your quote is ready — check your email"
- Invoice created → WhatsApp with link and M-Pesa payment instructions
- Deal closed → SMS "Thank you for your order! Reference: [ID]"
- Follow-up due → Internal SMS reminder to sales rep
Integration Methods
Webhook-based — Most CRMs support outgoing webhooks. Configure to call Sakura SMS API when events happen. Most flexible option.

## Customer Segmentation for Better Campaigns
URL: https://sakurasms.com/resources/knowledge/customer-segmentation-campaigns
Category: crm-customer
How to segment your customer database for more relevant SMS and WhatsApp campaigns that convert better.
Why One Message to Everyone Fails
Sending the same message to your entire list is the most common — and costly — mistake. A restaurant offer sent to a vegetarian. A premium pitch to a budget buyer. Result: low response, high opt-outs. Segmentation consistently doubles or triples campaign performance.
How to Segment in Sakura SMS
- Tags — Label contacts: VIP, Wholesale, Retail, Arusha, Dar, Dormant, Active
- Custom fields — Store any data: birthday, last purchase date, product category
- Groups — Predefined lists for recurring campaigns
Effective Segmentation by Recency
- Active (bought in last 30 days) → Upsell / cross-sell
- Recent (30–90 days) → Nurture with value content
- At-risk (90–180 days) → Win-back offer
- Lost (180+ days) → Strong re-engagement or remove from list
By Value
- VIP / High-value → Exclusive offers, early access, personal service
- Mid-value → Standard promotions, loyalty points
- Price-sensitive → Discounts, bulk offers
Tanzania-Specific Segments That Work
- End-of-month — Many TZ salaries paid end of month. Schedule campaigns for 28th–3rd.
- School term start — School-related purchases spike at term start.
- Ramadan — For Muslim-majority areas, time food and retail promotions accordingly.
- Agricultural cycle — Upcountry businesses should track planting and harvest seasons.
Import with tags: When uploading a CSV to Sakura SMS, include a Tags column. Every contact will be tagged on import — no manual tagging needed.
